The opportunity  
An exciting opportunity is available for an Administrative Support Officer to join the Office of the CEO, supporting the Strategy and Planning team.  

This role provides high-quality, proactive administrative support to the Strategy and Planning team, as well as broader support to the Finance and Investments business group. You’ll play a key role in ensuring the smooth coordination of executive processes, meetings, reporting, and administrative services that support organisational outcomes. 

The position 
Executive and Team Support

  • Coordinating Executive Leadership Team (ELT) meetings, including scheduling, agendas, materials and logistics
  • Supporting preparation of monthly and quarterly reports
  • Managing meeting documentation and uploading materials to systems such as Convene
  • Liaising with internal stakeholders to ensure seamless delivery of meetings and events

Business Administration

  • Providing administrative support to the Executive Leader, Finance & Investments
  • Preparing correspondence, briefing papers and reports
  • Coordinating travel and meetings with internal and external stakeholders

Access to Information Support

  • Assisting with document sourcing and packaging for information requests
  • Supporting Freedom of Information processes when required

Broader Office Support

  • Providing back-up support for the Office of the CEO, including:
  • Board and committee paper preparation
  • CEO calendar and email support
  • Meeting logistics and coordination
  • Invoice processing and purchase orders

This role will be a full-time, 2-year fixed-term, Grade 3 position.   

About you 
You are a highly organised, proactive and professional administrator who thrives in a fast-paced environment and enjoys supporting senior leaders. 

You will bring: 

  • Relevant qualifications or equivalent experience supporting executives or senior leaders 
  • Strong organisational skills with the ability to manage competing priorities and work autonomously 
  • Excellent communication and stakeholder engagement skills, with the ability to build effective relationships at all levels 
  • High levels of discretion and professionalism when handling confidential and sensitive information 
  • Strong Microsoft Office skills (Word, Excel, Teams) and experience using records management systems 
  • A collaborative mindset and commitment to continuous improvement 
  • Alignment with organisational values: care, inclusion, innovation, listening and accountability 

Special requirements/conditions 

  • Relevant tertiary qualifications or equivalent practical experience  
  • Appointment is subject to appropriate preemployment checks

The total remuneration package for this position starts from $83,738 per annum (plus superannuation). The final offer will be commensurate with the successful candidate’s qualifications, skills and experiences
